Inspection Scope Defined in the Contract
Create a contract in CargoClave that links the customer, shipment details, and the surveys to be executed — cargo type, vessel name, voyage number, port of loading and discharge, berth number, and BL number all recorded against the contract before any inspection begins
Build an Execution Plan within the contract: add each inspection activity with its phase (Pre-Loading, Loading, Discharge, or any custom phase), the specific survey to be used, the planned location, required completion date, and priority level
Assign each activity to an individual surveyor, a team, or a pool — the assignee receives their full scope through the platform the moment the contract is activated
Add new parties, contacts, ports, or locations directly from the contract screen without leaving the workflow — no switching between modules to complete the setup
Surveyor Execution on Mobile
The moment a contract is activated, assigned inspections appear on the surveyor's mobile app — with shipment reference, inspection type, location, point of contact, SLA deadline, and the specific survey form to complete
Surveyors fill the inspection on mobile: entering observations, uploading photos and video, capturing GPS location, scanning barcodes, and completing each step in the sequence defined in the survey
Field validations enforce completeness at the point of entry — required fields, mandatory photo attachments, and numeric range checks are enforced before the surveyor can proceed past each step
The Submit button remains disabled until every mandatory field and evidence requirement is satisfied — partial or incomplete inspections cannot be submitted as complete
Status Visibility and Formal Closure
From the moment a contract is activated, inspection status is visible to operations: Assigned, In Progress, Submitted, Approved, Conditionally Approved, or Rejected — updated as the surveyor progresses through the mobile app
The Operations Dashboard surfaces live metrics: active contracts, pending inspections, inspections due within 24 hours, SLA breaches, and recent alerts for surveyor delays or missing submissions — without needing to contact the surveyor directly
Every submitted inspection goes to the Inspection Review queue: a supervisor reviews all entries step by step, verifies GPS location against the planned site with a map view, and formally marks the inspection Approved, Conditionally Approved, or Rejected
Rejected inspections return to the surveyor with the reason recorded — conditional approvals capture noted exceptions before the inspection is closed and the report is generated
