Stock reserved but not tracked separately
A dispatch order is created. Stock is mentally set aside — but the system still shows it as available. A second order picks the same goods. One of them does not ship.
Damaged stock mixed with available stock
Rejected or damaged goods sit on the same shelves as sellable inventory. Pickers accidentally dispatch what should have been quarantined.
Adjustments made without approval
Stock is quietly written off, moved, or added without an authorised record. Month-end reconciliation reveals gaps that cannot be traced.
Age not tracked
Older stock sits at the back. FIFO is broken in practice even if it is policy on paper.
How Stock Moves Through Your Warehouse — State by State
Available
Stock enters the Available state the moment putaway is confirmed after a successful GRN and QC. This is the only state from which stock can be allocated to a dispatch order. Available quantity is what your team sees when checking if a customer order can be fulfilled.
Reserved
The moment a dispatch order is created and confirmed, the required quantity moves from Available to Reserved. Reserved stock cannot be allocated to any other order. It is committed — waiting to be picked, packed, and dispatched.
Blocked
Stock placed on quality hold, compliance review, or management instruction moves to Blocked. It cannot be dispatched until it is formally released back to Available with an approval record. Blocked stock is visible in the inventory screen but separated from usable quantity.
Damaged
Stock recorded as damaged — whether during inbound, transit, or warehouse handling — is classified as Damaged. It sits in a quarantine state with supporting evidence attached. It requires a formal stock adjustment with approval before it is written off or reclassified.
Adjusted
When a physical count reveals a discrepancy, a stock adjustment is raised — Increase, Decrease, Shortage, Spillage, or Damage. Every adjustment is submitted for approval and recorded in the stock ledger with a reason, a timestamp, and the identity of who made and approved the change.
