At order confirmation
Dispatch orders are accepted without checking whether stock is actually available. Shortages are discovered when picking begins — not before.
At picking
Pickers walk the warehouse with a paper list. They pick from the nearest available stock regardless of batch, age, or reservation status. FIFO is ignored.
At packing
No formal packing record. Quantity, weight, seal number, and container ID are either guessed or omitted. Discrepancies surface after delivery.
At the gate
Documents are checked informally. E-Way Bills are missing or expired. Vehicles leave without a formal gate pass. Invoice and physical cargo do not match.
From Order Confirmation to Vehicle Clearance — No Step Skipped
Dispatch Order Created
A dispatch order is raised for a customer with commodity, required quantity, warehouse, transporter, vehicle, and dispatch date. Check inventory availability before confirming — the system shows available stock in real time. Order is saved with status Draft until ready.
Picking Begins
Once confirmed, the pick action is triggered. The system shows the dispatch order, warehouse, commodity, ordered quantity, and remaining quantity to pick. The picker selects the bin location, enters the quantity picked, and completes the pick. For large orders, picking can happen across multiple bin locations — progress is tracked as a percentage.
Packing & Loading
When picking reaches 100%, packing begins. Record the packing type, number of units, gross weight, net weight, container number, seal number, and loading supervisor. Upload the packing list and weighment slip. Every physical detail of what went onto the vehicle is formally captured.
Gate Pass Generated
A gate pass is created linked to the dispatch order. Vehicle number, driver, seal number, and dispatch date are confirmed. The Documents Attached checkbox must be checked — invoice, packing list, and e-way bill verified before clearance. If anything is missing, the gate pass status shows Held and the vehicle cannot exit.
Vehicle Cleared & Dispatched
Security reviews and clears the gate pass. Exit time is recorded automatically. The dispatch order status updates to Dispatched. The stock ledger records the outbound movement. Inventory reduces by the dispatched quantity. The trip is now active.
