Untracked in-transit stock
The moment a transfer vehicle departs, stock is gone from the source but not yet arrived at the destination. Without a transit state, it effectively disappears from both ledgers until manually updated.
Double counting
Some operations count in-transit stock at the source and the destination simultaneously. Reported inventory is inflated. Actual availability is unclear.
No accountability for shortages in transit
When goods arrive short or damaged at the destination, there is no structured record to trace what left the source. Disputes between warehouse teams become unresolvable.

Transfer Request Raised
Create a transfer request with warehouse type (General or Bonded), commodity, transfer quantity, source warehouse and bin location, destination warehouse and bin location, dispatch date, and vehicle details. Both source and destination locations must be configured in the system before the transfer can begin.
Stock Dispatched From Source
The transfer record is created with status In Transit. Stock leaves the source warehouse against the transfer reference. The movement is recorded in the stock ledger as an outbound transfer from the source location — quantity reduces at source immediately.
In Transit
While the vehicle is moving between locations, the transfer sits in In Transit status. Both warehouse teams can see the pending transfer. The destination team knows exactly what is arriving, in what quantity, and when — before the vehicle reaches the gate.
Receipt at Destination
When the vehicle arrives, the destination team records the received quantity against the transfer reference. If the full quantity arrives — status moves to Received. If any quantity is missing — the shortage is recorded in the Shortage field and the status reflects With Shortage.
Inventory Updated at Both Ends
Source warehouse ledger shows the outbound transfer. Destination warehouse ledger shows the inbound receipt. Both locations reflect accurate, current stock. The transfer record is closed with a complete movement history — who raised it, what was sent, what was received, and what was short.
